Walk-thru of the Drug Databases?

Step-by-step overview of Drug Database navigation and features within the Inventory module of SiCompounding.

Overview

The Drug Databases within the Inventory module provide access to multiple authoritative data sources used for drug identification, verification, pricing, and patient education. These databases support compliance, accuracy, and efficiency when managing pharmacy inventory.

This guide walks through each available Drug Database and explains how to navigate and use its features.


Access the Drug Databases

1. Open SiCompounding

  1. Click the FileMaker Pro icon to open FileMaker.
  2. From the left-side menu bar, click SiCompounding.

2. Open the Pharmacy Dashboard

  1. Click Pharmacy from the icons across the middle of the screen.
  2. The Pharmacy Dashboard opens.

3. Open Inventory

  1. From the blue sidebar menu on the left, click Inventory.
  2. The Inventory Dashboard opens.

4. Open Drug Database

  1. At the top-right of the Inventory window, click Drug Database.

You will see six expandable database sections, each described below.


National Drug Code (NDC) Directory

Description

The National Drug Code Directory is maintained by the U.S. Food and Drug Administration (FDA) https://www.fda.gov/drugs. It lists all marketed drugs in the United States and serves as a unique identifier for:

  • Drug reimbursement
  • Clinical systems
  • Prescription claims processing

Using the NDC Directory

  1. The National Drug Code Database window opens with a search area.
  2. Results display the following columns:
    • NDC Code
    • Drug Name / Package Description
    • Manufacturer
  3. At the end of each row, click + To Inventory to add the item directly to inventory.
  4. Click the X in the upper-right corner to close the window.

Drug Establishments Current Registration Site (DECRS)

Description

The DECRS database contains current registration information submitted to the FDA by drug firms that:

  • Manufacture
  • Compound
  • Process
  • Prepare
  • Import drugs into the U.S.

Using DECRS

  1. The Drug Establishments Current Registration Site window opens with a search area.
  2. Displayed columns include:
    • Company Name
    • Business Operations
    • Address
    • Registration Expiration Date
  3. Click Close in the upper-right corner to exit.

RxNorm Drug Database

Description

The RxNorm Drug Database, created by the National Library of Medicine (NLM) https://www.nlm.nih.gov/research/umls/rxnorm/index.html, provides:

  • Standardized drug names
  • Unique RxCUI identifiers
  • Consistent drug identification across healthcare systems

This database supports interoperability with Electronic Health Records (EHRs).


Patient Drug Information

Description

Patient drug information includes FDA-approved data such as:

  • Drug purpose
  • Dosage instructions
  • Storage requirements
  • Warnings and side effects

This information is sourced from pharmaceutical manufacturers and regulatory labeling.


Search and Results

  1. The Patient Drug Information window opens with a search bar.
  2. Enter a Drug Name and press Enter / Return.
  3. Results display:
    • Drug Name
    • C | M indicator (Compounded | Manufactured)
    • Status:
      • 🟢 Green – Verified
      • 🔴 Red – Not Verified

Drug Information Area

  • Selecting a drug defaults to the Drug Information tab.
  • Click Edit to modify any section of the drug information statement.
  • Click Save when finished.

Products

  1. Click the Link Product button.
  2. The Products window opens.
  3. Use the search bar to search by:
    • Product Name
    • NDC
  4. Filter results by Active | Inactive | All.
  5. Select any Active Product.
  6. Click Add Selected Items to link products for easy inventory access.

Documents

Add Supporting Documents

  1. Click the Document button.
  2. The Add Document window opens.
  3. Drag and drop a document or image.
  4. Select a Document Type.
  5. Enter a Document / Photo Description.
  6. Click Save.
  • Search documents by Filename using the search box.

Actions Menu

Available actions include:

  • + New Drug – Create a new drug record
  • Duplicate Drug – Copy an existing drug record
  • Print Drug Information – Opens printable drug report
  • Print Label – Opens label print dialog
  • Delete – Opens deletion confirmation dialog

    “Use DELETE to confirm deletion of related record. Otherwise use CANCEL.”

  • Access Logs – View timestamp, account, and IP address
  • Change Logs – View field changes, previous values, and updated values

AWP Database

Description

The Average Wholesale Price (AWP) Database provides benchmark pricing used by:

  • Pharmacies
  • PBMs
  • Insurance providers

It supports pricing, reimbursement, and financial analysis.


Using the AWP Database

  1. The AWP Price List window opens with a search area.
  2. Columns include:
    • NDC
    • Product Name
    • Vendor
    • Size
    • AWP
    • Item Number
  3. Click the X in the upper-left corner to close.

Substances (Drug Terms) Database

Description

The Drug Terms Database stores standardized substance names used throughout the system.


Add a New Drug Term

  1. The Drug Terms Database opens with a search bar.
  2. Enter a new Drug Term.
  3. Click + New.
  4. A confirmation dialog appears:

    “Please use ADD button to confirm the addition of [Substance Name] as a new substance. Otherwise use CANCEL…”

  5. Confirm to add the new substance.
  6. Click the X in the upper-left corner to close.
