Facility User Access Setup: How It Works?

How user access, permissions, and system components are managed in SiKore

Overview

Facility User Access Setup defines how administrators control user permissions and access across all SiKore System Components.
This setup is critical for staffing the facility, streamlining workflows, maintaining operational efficiency, and ensuring compliance within the highly regulated pharmaceutical industry.

User Access configuration is performed within Facility Setup and is restricted to administrative users.


Purpose of User Access Setup

User Access Setup allows administrators to:

  • Grant or restrict access to system components
  • Assign privilege sets to staff
  • Control actions available within each module
  • Track access, changes, and communication logs
  • Maintain compliance and audit readiness

Prerequisites

Before proceeding, ensure:

  • FileMaker Pro is installed
  • You have valid Username and Password
  • You have Admin access to Facility Setup

Step-by-Step: Access User Access Setup

Step 1: Open FileMaker Pro

  1. Click the FileMaker Pro icon on your computer.

Step 2: Select the System Icon

  1. In the system selection window, click the K or System icon.

Step 3: Sign In to SiKore

  1. Enter your Username and Password.
  2. Click Sign In.
  3. The SiKore system window opens, displaying:
    • My Modules
    • A To Do List on the right

Step 4: Open Facility Setup

  1. Scroll below the listed modules.
  2. Click Facility Setup

    Admin access only


User Access Window Overview

The User Access window opens with:

  • A blue navigation sidebar on the left
  • A System Components list on the right
  • A menu bar specific to each system component

Each section in the sidebar has its own configuration and a corresponding How-To page.


Top-Right Menu Buttons

At the top-right of the User Access window are the following buttons:

  • Opens the Permissions window
  • By Action
    Displays permissions by:
    • System Component
    • Action Access Areas
    • Privilege Sets
  • By Profile
    Displays permissions by:
    • System Component
    • Privilege Sets
    • Action Access Areas

Go Back

  • Returns to the previously opened window

Help

Opens the Help menu with the following options:

  • Documents
    • Search SOP documents using the Search bar
    • Click the magnifying glass to view a document
    • Click Close to exit
  • Help
    • Opens a help URL (currently not active)
  • About
    • Displays the current SiKore version
    • Click Close to exit

System Components

Administrators can grant access to the following System Components:

  • SiKore
  • SiCompounding
  • SiMonitoring
  • SiEquipment
  • SiTraining
  • SiSterile
  • SiCash
  • SiTimeClock

Access is initially assigned during Staff creation, then refined here through privilege sets and action permissions.


Component Menu Structure

Each System Component contains the same menu bar:

  • Users
  • Actions / Access
  • Communications
  • Documents
  • Actions

The example below uses SiCompounding, as it is the most commonly used component.


Managing Users (SiCompounding)

Step 1: Select SiCompounding

  1. Under System Components, click SiCompounding.

Step 2: Open Users

  1. Select Users from the menu bar.
  2. A list of active staff appears.

Search Options

  • Search by Name or Privilege Set
  • Use the Search bar (upper-right) and press Enter

Step 3: Grant Access

  1. Click Grant Access above the staff list.

Access for SiCompounding Window

This window contains two sections:

  • Accounts
    Users without access
  • Accounts Selected
    Users with access

Grant Access

  • Click the pointer icon next to an account to move it to Accounts Selected

Modify Access

  • Change Privilege Set via dropdown
  • Toggle Status (Active / Inactive)
  • Click the X icon to remove access

Click Close when finished.


Managing Actions / Access

Select Actions / Access from the menu bar.

By Access Groups

  • Displays Privilege Sets with authorized actions
  • Search by Action or Authorized Name

Edit a Privilege Set

  1. Click the pencil icon next to a group (e.g., User01 – Managers)
  2. Selected Actions appear on the right
  3. Available Actions appear on the left

Example: Remove Settings Actions

  • Search “settings” under Selected Actions
  • Click the X to remove individual actions
    or
  • Click Clear All

Add Actions Back

  • Search “settings” under Available Actions
  • Click Add All or select individually

Click Close to exit.


By Actions

  1. Click By Actions
  2. Select a Module (e.g., Compoundings)

The Actions list displays:

  • Action Name
  • Description
  • Module
  • Authorized Privilege Sets

Action Icons

  • Pencil – Edit Action → Click Save
  • Magnifier – View Modification Logs
  • List – Add or remove Privilege Sets

Click Close to exit each window.


Communications

  1. Select Communications
  2. Click + Note
  3. In the New Communication window:
    • Select Type
    • Enter Note
    • Attach documents or images (drag & drop)
  4. Click Save

Documents

  1. Select Documents
  2. Search by Filename if needed
  3. Click + Document
  4. Drag and drop a document
  5. Select document type
  6. Enter a description
  7. Click Save

Actions (Reports)

Select Actions to access:

  • By Action – Permissions by action
  • By Profile – Permissions by privilege set

Return to SiKore

  • Click the SiKore icon above the User Access button to return to the main system window.
