Navigating Through the Purchase Orders Module?

Step-by-step walkthrough of the Purchase Orders (PO) module, including dashboards, widgets, and actions.

Overview

The Purchase Orders (PO) module in SiCompounding centralizes purchasing workflows, allowing users to create, track, authorize, receive, and manage purchase orders efficiently.
This guide provides a structured walkthrough of the PO module navigation, dashboards, widgets, and available actions.

⚠️ Note: This section is marked Update Needed and may be expanded as additional functionality is finalized.


Step 1: Access the Purchase Orders Module

  1. Click the FileMaker Pro icon to open FileMaker.
  2. When FileMaker opens, locate the large menu bar on the left.
  3. Click SiCompounding (near the top).
  4. From the icons across the middle of the screen, click Pharmacy to open the Dashboard.
  5. From the blue sidebar menu on the left, select PO.

At the top of the Purchase Orders module, you will find the Main Menu, which follows a consistent layout across all SiCompounding modules.

Available Options

  • + Purchase Order
    Create a new purchase order.

  • Reports
    Access on-demand and filtered purchase order reports.

  • Search
    Search purchase orders by PO number or vendor.

  • Lookup
    Quick lookup tool for related records.

  • < Go Back
    Returns to the previous screen.

  • Help
    Opens help and support resources.

  • Notifications (Bell Icon)
    Displays system alerts and notifications.


Dashboard Widgets

The PO Dashboard contains widgets that provide quick access to commonly used purchase order states.

New Orders

  • Displays a list view of purchase orders not yet submitted.
  • Includes:
    • View All button that opens the oldest unsubmitted order.
    • Search bar to locate a specific unsubmitted PO.

Pending Authorization

  • Displays purchase orders that require authorization confirmation.
  • These orders typically need a confirmation number before proceeding.

Pending Receiving

  • Displays purchase orders that have been:
    • Not received, or
    • Partially received
  • Includes:
    • View All button that opens the oldest pending receiving order.
    • Search bar to find a PO not yet fully received.

Back Orders

  • Displays purchase orders with items on back order.
  • Includes:
    • View All button that opens the oldest back order in detail view.
    • Search bar to locate back orders by:
      • PO Number
      • Vendor Name

Pending Bill

  • Displays purchase orders where products have been received but billing is pending.
  • Includes:
    • View All button that opens the oldest pending bill.
    • Search bar to find a PO by:
      • PO Number
      • Vendor Name

Want Book (Existing Products)

  • Displays purchase requests for existing inventory products.
  • Includes a Search bar to locate requests by:
    • PO Number
    • Vendor Name

Available Actions

Each record includes an Actions menu with the following options:

  • View Product Info
    Opens the Inventory Item window for the selected product.

  • Add to Order
    Opens the Select a Vendor window where you can:

    • Create a new PO
    • Select an existing PO
    • Add the product to a PO
      Click Close to exit without action.
  • Discard Request
    Removes the purchase request.

  • Set as Purchased
    Marks the request as fulfilled.


Want Book (Non-Existing Products)

  • Displays purchase requests for products not currently in inventory.
  • Includes a Search bar to locate requests by:
    • Quantity
    • Product Name
    • Notes

Create a New Purchase Request

  1. Click + New Request.
  2. The New Purchase Request form opens.
  3. Enter the following information:
    • Product Name
    • Description / Note / Link to Buy
    • Quantity Needed
    • Date Needed
  4. Click Submit to save and close the form.

Additional Sections (Update Needed)

The following sections are present in the module but require further documentation updates:

  • Vendors
  • Manufacturers
  • Want Book (Expanded Functionality)
