How to Create an Order Quote?

Step-by-step instructions for creating an order quote in the Orders module without requiring patient or provider details.

Overview

An Order Quote can be generated when a patient or provider inquires about pricing for a drug and/or product. Quotes are informational and do not require personal patient or physician information to be completed.

This guide walks through how to create, manage, and finalize an order quote in SiCompounding.


Accessing the Orders Module

  1. Click the FileMaker Pro icon to open FileMaker.
  2. When FileMaker opens, locate the large menu bar on the left side of the window.
  3. Click SiCompounding (near the top).
  4. From the icons across the middle of the screen, click Pharmacy to open the Dashboard.
  5. From the blue sidebar menu on the left, click Orders.

Creating a New Quote

  1. In the Orders window, locate the button immediately to the right of Dispenses.
  2. Click + Quote.

A new Orders window will open.


Understanding the Quote Screen

  • An orange QUOTE label will appear in the upper-left corner of the order.
  • A unique Order Number is automatically generated and displayed in the upper-left corner of the page.
  • This order is now officially in Quote status.

Completing the Order Quote

Assigning Staff

  • To the right of the QUOTE label:
    • Select a staff member from the dropdown menu, or
    • Click Assign to Me

Setting the Dispense Date

  1. Click under To Dispense On.
  2. A popup calendar will appear.
  3. Select the appropriate dispense date.

Adding Drugs to the Quote

Selecting Drug Types

Within the Drugs table:

  • Click + Prescription Drug and/or + OTC Drug
  • A popup menu will display:
    • Product Name
    • Unit
    • Price
    • Quantity available in stock

Searching for a Product

  1. Use the Search bar within the popup menu.
  2. Enter the product name.
  3. Press the Enter/Return key to view results.

Stock Availability Indicators

  • Products out of stock will show:
    • Quantity = 0
    • Quantity highlighted in red
  • Select products that are in stock to add them to the quote.

Editing Drug Quantities

Once added to the Drugs table, the following fields are displayed:

  • Quantity (QTY)
  • Units
  • Drug Ordered
  • Price Each
  • Total

To edit quantity:

  1. Click the quantity box in the far-left column for the drug.
  2. Enter the desired quantity.
  3. The total price updates automatically.

Adding Supplies (Optional)

  1. In the Supplies table, click + Item.
  2. Select the supply to include in the quote.

If no supplies are required, this step may be skipped.


Order Total Summary

  • The Order Total Amount Summary appears in the left-side table.
  • Displays the combined total for:
    • Drugs
    • Supplies

Note: Shipping charges are not included in this total.


Out-of-Stock Warnings

If a drug or supply:

  • Is out of stock, or
  • Does not have sufficient inventory

The quantity field will appear red in the table.


Order Items: Detailed Cost Breakdown

To view a detailed breakdown of costs:

  1. Click the Order Items tab.

This view displays:

  • Dispense fees
  • List price per item
  • List price total
  • Sales price
  • Sales price total
  • NDC for each item

Shipping & Communications

  • The Shipping and Communications sections function identically to those found when creating a new order.
  • These sections allow for consistent documentation and follow-up communication.

Actions Menu

Click the Actions button next to Communications to access quote-related options.

Available Actions

Set Next Action

  • Create follow-up tasks, including:
    • Call list creation
    • Reminder to call in N days
    • Last Call Date
    • Next Call Date
  • Option to Hold Setup
    • Select a Hold Reason
    • Add notes under Communication Note

  • Print All (Order Quote)
  • Print Order
  • Print Payment Receipt
  • Print Worksheet
  • Send Order Documents by Email
  • Report Out-of-Stock (OOS) Event

Logs & Tracking

Users can view:

  • Access Logs
  • Change Logs
  • Progress Logs (displays quote status, such as Case Management)

Cancel Order

  • Selecting Cancel Order will:
    • Cancel the quote
    • Label it red as cancelled
    • Archive it in the system
  • Cancelled quotes remain searchable by Order Number

Finalizing the Quote

  • Once completed, the quote is automatically saved.
  • It appears on the Orders landing page.
  • Quotes are identified by the orange QUOTE label in the Recipient column.
